Instructions for participants

The conference takes place here. Use the access codes sent to you to enter the online conference venue. There is an access code for pre-conference activities and an access code for the conference itself (these are two different Worksup events).

Doctoral colloquium, courses, workshops, visits and tours

These are pre-conference activities. Once at the online conference venue, you will be able to browse all pre-conference activities and join the ones you registered for. Details are available under DETAILS.

Doctoral colloquium, courses and workshops take place in dedicated rooms (several Zoom meetings with authenticated access only). You’ll find the links to each room under each event’s MEDIA. You will also find the extended abstracts (PDF files) of courses and workshops under each activity’s MEDIA. Miro is also available and if Miro boards have been created, course and workshop organizers will share them with you.

Visits and tours are streamed events (Vimeo streams). You’ll find the links to each stream for each under MEDIA. If used, you will find also a link to your visit and tour meeting room Zoom meetings with authenticated access only) under MEDIA

Once done with your activity, please let us know what you think about it providing feedback using your activity’s 5-star scale.

Plenary, parallel sessions

These are the conference’s activities. Once at the online conference venue, you will be able to browse the full schedule and join plenary and parallel sessions as they happen. Details are available under DETAILS.

You can either enter the session room (a dedicated Zoom meeting with authenticated access only) or watch the session stream (a dedicated Vimeo stream). You will find the links to each session’s room and stream under each session’s MEDIA.

When the time comes, you can join the discussion either by raising your hand in the session room or by posting a question under each presentation’s Q&A feature. You can also let presenters know how much did you like their presentation using the 5-star scale provided.

Exhibitions

This is also a conference activity. Demos, installations and posters are exhibited in our venue’s Expo area. Feel free to browse through it at any time.

There are however two exhibition sessions scheduled so that you can meet the authors. You can join them in the expo room (a dedicated Zoom meeting with authenticated access only) or watch them pitch their work on the expo stream (a dedicated Vimeo stream). Details are available under DETAILS and you will find the links to the expo room and stream under each Exhibition sessions’ MEDIA. You can also let us know how much you liked these exhibitions using the 5-star scale provided.

All presentations (keynotes, research papers, case studies) take place in sessions moderated by a session chair. Pre-recorded presentations will be streamed according to the session’s schedule, which is kept by the session chair.

Although presentations are pre-recorded, you’re required to join your session to discuss your work:

  • Keynotes sessions are 60 minutes long with 45 minutes reserved for your presentation and 15 minutes set aside for discussing it.
  • Research paper sessions are typically 90 minutes long. Long research papers are assigned a 20 minutes slot with 15 minutes reserved for your presentation and 5 minutes set aside to discuss it. Short research papers are assigned a 15 minutes slot with 10 minutes for your presentation and 5 to discuss it.
  • Case study sessions are typically 90 minutes long. Case study papers are assigned a 20 minutes slot with 15 minutes reserved for your presentation and 5 minutes set aside to discuss it.

Please join your session’s room (a Zoom meeting) 5 to 10 minutes before the scheduled time. Make sure you are in a quiet well lit location and test your connection by interacting with the session chair, your peers, the session’s student volunteer or the technical support staff.

If you are presenting a demo, an installation or a poster, please check the details of your session with the respective chairs, as they have specific arrangements.

If you are chairing a session, your main role is to introduce those presenting, to moderate each presentation’s discussion and to keep the session’s schedule.

Please join your session’s room 5 to 10 minutes before the scheduled time. Make sure you are in a quiet well lit location and test your connection by interacting with the presenter(s), the session’s student volunteer or the technical support staff.

Please begin the session by introducing all presenting.

Pre-recorded presentations will be streamed by our technical support staff at your cue.

During the discussion, expect participants joining the session’s room (a Zoom meeting) to raise their hands to ask questions.

Participants can also attend the session through the session’s stream (a Vimeo stream). These might send questions thorough the Q&A feature of each presentation. The session’s student volunteer will copy them into the chat feature of the session’s room for your convenience.

Finally, wrap the session with an overview. And that’s it!

As you probably know by now, your course will take place in a dedicated room (a Zoom meeting with authenticated access only). A dedicated online collaboration space (a Miro Project) as also been assign to you.

We suggest that you join your activity’s room 5 to 10 minutes before the scheduled time. Make sure you are in a quiet well lit location and test your connection by interacting with other organisers, the session’s student volunteer or the technical support staff.

Both the student volunteer and the technical support member are there to ensure that your activity runs smoothly. Feel free to assign tasks to the student volunteer. And do not hesitate to ask the technical support person for full control of the room, should you wish to. Also, let him know whether you’d like the session recorded.

You can be assigned one of five kinds of os activities: Course, workshops, plenary sessions, parallel sessions, or exhibitions.

our primary role is to be the face and eyes of NordiCHI 2020. Please show up 15 minutes before your assigned activities or sessions, welcome participants identifying yourself as the session’s student volunteer, ask activity organisers or session chairs if they need your assistance and act accordingly, remain put until everyone leaves and close the room.

Activities and sessions take place in dedicated rooms (Zoom meetings with authenticated access). Make sure that when you join you are in a quiet and well-lit location. Test your connection by interacting with the organizers, chairs, presenters, or the technical support staff.

If you are supporting a plenary or parallel session, you’ll have the additional tasks of copying all questions posted through the sessions Q&A feature to the room’s chat so that the chairs can get them easily. This is important so, please make yourself familiar with the setup of the online conference venue before working a plenary or parallel session. Do reach out to the Student Volunteer chairs if you have any questions.

And of course, make sure you enjoy the conference. We would love to throw you a party but unfortunately, this will not be possible. Maybe one day :)
